Planning a wedding is exciting, but it can also feel like a hundred decisions at once. The best way to stay calm is to break it into small steps and keep everything in one place. Here is a simple wedding planning guide, step by step, plus a printable planner with all the pages you need.
Step 1: Set Your Budget First
Before you look at venues or dresses, decide how much you can spend and who is contributing. Then divide the total by category: venue, catering, photography, flowers, attire, music, stationery and more. Add a small buffer of about 5 to 10 percent for surprises. Write down the estimate, the actual price and what you have already paid, so you always know what is left.
Step 2: Define Your Vision
Choose three words that describe your wedding, such as cozy, elegant and joyful. Pick a color palette and decide your must-haves and your "definitely not" list. This vision will make every later decision easier, from the venue to the flowers.
Step 3: Build the Guest List Early
Your guest count decides the venue, the catering and a large part of the budget. Start with a "must invite" list and a "would be nice" list. Track addresses, RSVPs, meal choices and allergies in one table, so you are not searching through messages later.
Step 4: Book the Big Things First
The venue, photographer, caterer and band or DJ get booked first, often 8 to 12 months ahead. Compare at least three options and write down the price, what is included, the capacity and the rain plan. Keep a payment tracker with deposits and due dates so nothing is missed.
Step 5: Follow a Timeline
A month-by-month checklist keeps you on track:
- 12 to 9 months: budget, date, venue, wedding party and photographer
- 8 to 6 months: dress and attire, caterer, music, save-the-dates and honeymoon
- 5 to 3 months: invitations, hair and makeup, menu and rings
- 2 to 1 months: mail invitations, marriage license, fittings, seating chart and vows
- Wedding week: confirm vendors, prepare payments and tips, rehearsal and rest
Step 6: Plan the Details
Attire, decor, flowers, music and the menu make the day personal. Write down your ideas, quantities and costs. Add a photographer shot list so important moments (grandparents, family groups, the first dance) do not get missed. Make a "do not play" list for the DJ.
Step 7: Prepare the Day-of Timeline
A simple hour-by-hour schedule with who, what and where helps everyone relax. Share it with the wedding party and vendors, and assign someone to answer questions so you do not have to. Pack an emergency kit with safety pins, stain remover, snacks, pain relievers and phone chargers.
Step 8: Say Thank You
Keep track of every gift and send thank-you notes within a few weeks. Writing them as you go is much easier than doing it all after the honeymoon.
