Email is one of those tasks that quietly eats your day. You stare at a blank screen, rewrite the same sentence three times, and worry if it sounds too rude or too soft. AI tools such as ChatGPT, Claude and Gemini can write a first draft in seconds, if you know how to ask. In this post you will learn how to use AI to write better emails faster, with prompts you can copy today, plus the printable prompt pack I made for work and small business.
What AI Does Well With Email
- Writes a clear first draft so you never face a blank page
- Changes the tone: friendlier, more formal, or more confident
- Summarizes long emails and threads into a few bullet points
- Suggests subject lines and polite ways to say no
- Proofreads and shortens your own drafts
But AI does not know your situation, and it can make mistakes. Always read the email, check names, dates and numbers, and edit it so it sounds like you. Do not paste private or confidential information, such as passwords, ID numbers or customer data, into an AI tool, and follow your workplace rules.
Step 1: Give the AI Five Details
Most weak emails come from weak prompts. Always tell the AI:
- Who: the person and your relationship (boss, client, customer)
- Goal: what you want them to do or know
- Tone: friendly, formal, firm, apologetic
- Length: for example under 80 words
- Facts: dates, names, numbers and what happened
Here is a simple prompt to try:
"Write a professional email to [PERSON/ROLE] about [TOPIC]. My goal: [GOAL]. Tone: [FRIENDLY/FORMAL]. Length: under 80 words. Include a clear subject line."
Step 2: Use a Simple Email Formula
A good email is short and easy to act on. Use this order:
- Subject line: clear and specific
- Greeting and one-line reason
- The point: the most important thing in the first two sentences
- The ask and a deadline: "Could you send the report by Thursday at 3 pm?"
- A polite close
For subject lines, try formulas like "Please review: [DOCUMENT] by [DATE]", "Quick question about [TOPIC]" or "Friendly reminder: [TASK] due [DATE]".
Step 3: Reply Faster
Paste the email you received and ask for three short replies: one yes, one no, and one asking a question. Pick the closest one and edit it. For long messages, ask the AI to summarize them in three bullet points with any action and deadline:
"Summarize this email in 3 bullet points and list any action I need to take, with deadlines: [PASTE EMAIL]"
Step 4: Send Polite Follow-Ups
Following up feels awkward, so many people avoid it. Ask the AI for a short, friendly version:
"Write a polite follow-up to [PERSON] about my email on [DATE] regarding [TOPIC]. Do not sound pushy. Include a clear next step. Under 60 words."
The same idea works for payment reminders, meeting follow-ups and project updates.
Step 5: Handle Tricky Emails
This is where AI helps most. Saying no, apologizing, delivering bad news or asking for more time are hard to word. Give the AI the facts and the tone you want, for example:
"Write a kind but clear email declining [REQUEST] from [PERSON]. Give a short reason: [REASON]. Offer an alternative if possible: [ALTERNATIVE]."
Then read it and make sure it is true and says what you really mean.
Step 6: Save Time With Templates
If you send the same type of email often, ask the AI to create reusable templates with [BRACKETS] for the parts you change. Save them in a note or in your email app. A few good templates can save you hours every month, especially if you answer customers.
